About this policy
Egypt Encompassed Luxury (“Egypt Encompassed”, “we”, “us” or “our”) designs and operates private luxury journeys in Egypt and, where requested, Jordan and Saudi Arabia. This Privacy Policy explains how we collect, use, disclose and safeguard personal information when you visit egyptencompassed.luxury, submit a private proposal request, communicate with us or use our services. It is a notice about our practices, not an agreement that clients are required to accept.
Egypt Encompassed Luxury is responsible for the personal information described in this policy. If you submit information about another traveller, you should be authorised to do so and should make this policy available to them.
Information we collect
Information you provide. Our quick enquiry form asks for a message and email address, with an optional WhatsApp number. The short proposal form asks for your name, email address, country of residence, destination preference and number of travellers. You may also provide a telephone or WhatsApp number, approximate dates, trip duration, budget guidance and an additional message. More detailed travel preferences, rooming, dietary or mobility information may be discussed later where relevant to your enquiry.
Communications and service information. We collect information contained in emails, calls and other communications with you, together with information needed to prepare, arrange and support a requested journey.
Website and technical information. When you use the site, our systems and service providers may process technical information such as your IP address, browser and device type, operating system, referring pages, pages viewed, dates and times of access, approximate location derived from an IP address, security events and cookie or similar identifiers.
How we use information
- to respond to enquiries and prepare a tailored private-journey proposal;
- to plan, arrange, operate and support services you request;
- to communicate about your enquiry, journey and service updates;
- to personalise recommendations, accessibility support and dietary arrangements;
- to maintain, secure, troubleshoot and improve our website and services;
- to detect fraud, spam, abuse and security incidents; and
- to meet accounting, regulatory, legal and record-keeping obligations.
Legal bases
Where data-protection law requires a legal basis, we rely on taking steps at your request before entering a contract, performing a contract with you, our legitimate interests in responding to prospective guests and operating and protecting our business, and compliance with legal obligations.
Dietary requirements and mobility considerations may reveal sensitive information. Providing these details is optional and is not required to submit an enquiry. We use them only when necessary to evaluate and support the journey you have requested. Please do not send medical records, passport copies, payment-card details or other highly sensitive documents through the general proposal form. Information about children should be provided only by a parent, guardian or authorised adult.
How we share information
We do not sell personal information. We may disclose it only as reasonably necessary to:
- our employees, representatives and authorised team members who need it for their work;
- hotels, cruise and aviation operators, transport providers, guides, destination partners and other travel suppliers involved in preparing or operating a requested journey;
- providers of website hosting, forms, email, cloud storage, communications, analytics, customer support and cybersecurity services acting for us;
- professional advisers, insurers, auditors and financial institutions where appropriate; or
- courts, regulators, law-enforcement bodies or other parties when disclosure is required by law, necessary to protect rights or safety, or connected with a business reorganisation.
Travel proposals can involve suppliers in Egypt, Jordan, Saudi Arabia and other countries. Our technology providers may also process information in other jurisdictions. Where required, we use contractual, organisational or other appropriate safeguards for international transfers.
Cookies and similar technologies
The site may use cookies and similar technologies needed for core functionality, security, preferences and performance. Optional analytics, support or other features may use additional technologies if enabled and permitted under applicable requirements. You can manage cookies through controls made available on the site and through your browser settings; blocking some cookies may affect site functionality.
Optional Google Analytics
We use Google Analytics only after you choose “Accept analytics” in our analytics notice. It helps us understand page visits, successful enquiry submissions and clicks to WhatsApp. Analytics events identify which form was completed or where a WhatsApp link was clicked; they do not include the name, email address, telephone number or message entered in our forms. A WhatsApp click does not tell us whether a conversation or booking followed.
When you accept, Google may process device and browser information, approximate location and analytics identifiers. Advertising storage, advertising personalisation and Google Signals are disabled in this implementation. We remember your analytics preference in your browser for up to six months. Use “Analytics preferences” in the footer to accept or decline at any time; declining stops further Analytics collection in this implementation. Read how Google uses information from sites that use its services.
Retention
We retain personal information only for as long as reasonably necessary for the purposes described above. Retention depends on the nature and status of an enquiry or journey, our ongoing relationship with you, supplier and contractual requirements, legal limitation periods, accounting and regulatory duties, security needs and backup cycles. When information is no longer needed, we delete or anonymise it where reasonably practicable.
Security
We use reasonable technical and organisational measures intended to protect personal information against accidental loss and unauthorised access, alteration, disclosure or destruction. No internet transmission or storage system can be guaranteed completely secure.
Your rights and choices
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of or restriction on the use of your personal information; receive certain information in a portable format; object to particular processing; and complain to a competent data-protection authority. We may need to verify your identity and may retain information where the law permits or requires it.
You can exercise applicable rights or raise a privacy question by emailing info@egyptencompassed.luxury. We will respond in accordance with applicable law.
Children
Our website and proposal process are intended for adults. We do not knowingly invite children to submit forms directly. An adult arranging family travel may provide limited information about children when reasonably necessary for planning, such as ages, rooming needs, dietary requirements or mobility considerations.
Automated decisions
We do not use information submitted through the private proposal form to make decisions based solely on automated processing that produce legal or similarly significant effects.
Third-party websites
Our site may link to websites operated by travel suppliers or other third parties. Their privacy practices are governed by their own policies, and we are not responsible for their websites.
Changes to this policy
We may update this policy to reflect changes in our services, technology or legal obligations. The effective date at the top shows when it was last revised. Material changes will be highlighted when appropriate.
